Privacy Policy

The Ballroom is a private membership-based billiards club in San Francisco operated by Deep Screw LLC, a California limited liability company (“The Ballroom,” “we,” “us,” or “our”). This Privacy Policy describes the information we collect through our website, our membership portal, our club facility, and our communications with you, and how we use, share, and protect that information.
1. Information we collect
Information you provide. When you apply for or hold a membership, book a table, register a guest, or contact us, we may collect your name, email address, phone number, date of birth, emergency contact details, membership type and status, booking history, and the contents of your communications with us. Members who register guests may provide guest names and contact details. Please do not provide another person's contact information unless you have their permission to do so.
Payment information. Payments are processed by our membership-management and payment service providers. We do not store full payment card numbers on our own systems.
Facility and access information. Because the club offers 24/7 member access, our access-control system records facility entries associated with your membership credential. We may also collect information through facility security systems, such as video security where in use, to protect members, guests, and the premises.
Website information. Our website collects the basic technical information any website receives, such as IP address, browser type, and pages visited, through standard server logs.
SMS opt-in information. If you opt in to text messages, we collect your mobile number, your consent selections, and your message history with us.
2. How we use information
- To provide and administer memberships, bookings, guest visits, and facility access;
- To process billing and payments;
- To communicate with you about your account, bookings, membership, and club operations, including by text message where you have opted in;
- To maintain the safety and security of members, guests, staff, and the facility;
- To comply with legal obligations and enforce our agreements; and
- To operate, improve, and understand use of the club and our services.
3. Text messaging (SMS)
You may choose to receive informational SMS/MMS messages from The Ballroom by checking the optional SMS consent box during your own membership or Trial Pass signup. Existing members may also review our program disclosure at https://www.theballroomsf.com/sms-opt-in and then enable one or more informational SMS categories in their authenticated GymMaster Member Portal subscription preferences. Each portal category provides consent only for its corresponding message type. These messages may relate to your membership account, billing matters—including questions and confirmations about guest fees and table-time charges—bookings and reservations, facility access, conduct or safety follow-ups, customer-service requests, and important club operations.
If you request information through our telephone menu, we may send the specific informational text you requested. That request does not enroll you in other ongoing messages. If you text us first, we may respond to your inquiry within that conversation.
We do not send marketing text messages under this program.
Consent to receive informational messages is optional and is not a condition of membership or any purchase. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Our SMS program terms are available at theballroomsf.com/sms-terms.
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent will not be sold or shared with any third parties for their own purposes. We may disclose mobile information to service providers, such as our membership-management and communications platforms, solely as necessary to administer consent, deliver messages, maintain records, provide customer support, and operate our messaging program; those providers may use it only to perform services for us.
4. How we share information
We do not sell personal information. We share personal information only as follows:
- Service providers. We use third-party providers to operate the club, including our membership-management and access-control platform, our payment processors, and our business phone and messaging platform. These providers process information only to perform services for us.
- Legal and safety. We may disclose information when required by law, legal process, or governmental request, or when we believe disclosure is necessary to protect the rights, property, or safety of The Ballroom, our members, our guests, or others.
- Business transfers. If The Ballroom or Deep Screw LLC is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
For clarity, and consistent with the section above: mobile information, including SMS opt-in data and consent, is never sold or shared for marketing or promotional purposes, and is disclosed to service providers only as necessary to operate our messaging program on our behalf.
5. Data retention
We retain personal information for as long as needed to provide our services, maintain membership records, satisfy legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Retention periods vary by record type and are set according to operational need and legal requirements.
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, and we limit access to those who need it to operate the club. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your choices and rights
- Text messages. Reply STOP to any message to opt out, or HELP for help.
- Email. You may opt out of non-essential emails using the unsubscribe method provided in the message; we will still send messages necessary to administer your membership.
- Access and correction. You may request access to, correction of, or deletion of your personal information by contacting us using the details below. We will honor requests as required by applicable law, subject to records we must keep for legal or operational reasons.
8. Online tracking and Do Not Track
Our website hosting and any embedded-content or analytics providers we use may collect technical and usage information when you visit our website, including through cookies or similar technologies, under their respective privacy practices. Our website does not currently respond to “Do Not Track” browser signals.
9. Children
Our website and services are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. If we learn that we have collected such information without appropriate authorization, we will take reasonable steps to delete it. If you believe a child has provided us personal information, please contact us at the address below.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the updated policy on this page with a new effective date. Material changes may also be communicated to members directly.
